Who we are

MetaSync is a CRM for roofing contractors, run by [LEGAL ENTITY NAME], 5505 W 123rd St, Ste 126A, Savage, MN 55378-5506, USA (“MetaSync”, “we”, “us”). It covers metasync.biz, the MetaSync web app at metasync.biz/app, and the MetaSync CRM apps for iPhone and Android.

Two kinds of information

Information about you as a MetaSync user. Your name, email, the company you work for and so on. We decide how this is used, and this policy describes it.

Information your company puts into MetaSync. Roofing companies use MetaSync to keep track of their own customers, jobs, suppliers and insurance adjusters. That information belongs to the roofing company. We store and process it only to run MetaSync for them, and we do not use it for anything else. If you are a homeowner whose details a roofing company has entered, that company is the one responsible for them; contact them first, and we will help them handle your request.

What we collect

When you create and use an account

• Your name, email address, phone number, company name and your role in the company (manager or employee).
• Your password. We never store it as you typed it: it is scrambled with a one-way hash, and only the hash is kept.
• Your plan, its status and billing history. Card numbers are entered on Stripe's own checkout page and go to Stripe, not to us.

What you put into MetaSync

• Leads and jobs: customer names, phone numbers, email addresses, property and damage addresses, notes and statuses.
• Insurance details: insurance company, policy and claim numbers, date of loss, and adjusters' names and contact details.
• Photos and documents you upload, with the date each was uploaded. Photos are compressed when uploaded.
• Messages between your team, material orders sent to suppliers, and the money recorded on each job: payments, costs and commissions.

Collected automatically

• Server logs. Like almost every website, our server records requests it receives, including the IP address, the time and the page or action requested. We use these logs to keep the service running and secure.
• Analytics on the website and web app. metasync.biz and the web app use Google Analytics, loaded through Google Tag Manager, to understand how many people visit and which pages they use. Google Analytics sets cookies in your browser to do this.
• On your device. The web app and the mobile apps keep your signed-in session, your recent searches and a few display settings, such as list filters, on your device. Your session and recent searches are deleted when you sign out.

In the iPhone and Android apps

• The apps contain no advertising, analytics or tracking tools, and do not track you across other companies' apps or websites.
• If you turn on Face ID, Touch ID or fingerprint sign-in, your device checks your face or fingerprint itself. We never receive or store biometric data; we only learn whether the check passed.
• Your signed-in session is kept in your device's secure storage.
• The apps can only see the photos and files you choose to upload. They do not read the rest of your photo library or your files.

How we use it

• To provide MetaSync: sign you in, store and show your jobs, and do what you ask it to do.
• To send the emails you trigger, such as notifications to your team, material orders to your suppliers, invoices and password reset links.
• To bill your subscription and contact you about your account when we need to.
• To answer your questions when you contact support.
• To keep MetaSync secure and working, and to find and fix problems.
• To understand how the website is used so we can improve it.

We do not sell personal information, and we do not share it for advertising.

Who we share it with

We use a small number of companies to run MetaSync. They receive only what they need to do their part, and only for that purpose.

• Stripe: payments and subscriptions.
• Google: sending email from MetaSync, and Google Analytics on the website and web app.
• Cloudflare: delivers the website and protects it from attacks. Traffic to metasync.biz passes through it.
• Contabo: the server that runs MetaSync and stores its data and files, located in St. Louis, Missouri, USA.

We may also share information if the law requires it, to protect the rights and safety of our users or of MetaSync, or as part of a merger or sale of the business, in which case this policy would continue to apply to it.

Inside a roofing company, managers decide who sees what. For example, a company can hide what a job earned from crew members.

Where it is kept and how it is protected

MetaSync's data and files are stored in the United States. Everything sent between your device and MetaSync is encrypted. Passwords are stored only as one-way hashes, password reset links work once and expire after an hour, and a full backup is taken before every update. More detail is on our security page.

How long we keep it

We keep your information for as long as your company's account is open. If the account is cancelled, its data stays in place until the end of the period already paid for, so the cancellation can be reversed. After that it is deleted within [RETENTION PERIOD AFTER CANCELLATION], and removed from backups as they are replaced. We may keep billing records for longer where tax or accounting law requires it.

Your choices and rights

• See and correct your information. Most of it can be viewed and edited in MetaSync. For anything you cannot change yourself, contact us.
• Get a copy. Ask us and we will send you the personal information we hold about you.
• Delete it. See deleting your account below.
• Cookies. You can block or delete cookies in your browser settings, and opt out of Google Analytics with Google's opt-out browser add-on. MetaSync keeps working without analytics cookies.

Depending on where you live, including California and other US states, you may have further rights under local law, such as the right to know what we collect, to have it deleted, and not to be treated differently for using these rights. Contact us to use any of them. We will reply within 30 days, and we may need to confirm your identity first.

Deleting your account

Email [PRIVACY CONTACT EMAIL] from the address on your account and ask for your account to be deleted. We will confirm and delete your account and personal information within 30 days, except for records we must keep by law. If you are a company owner, deleting the company account deletes all of its jobs, photos and documents, so we will check with you before we do it.

Children

MetaSync is a business tool for roofing companies and is not meant for children. We do not knowingly collect information from anyone under 16. If you believe a child has given us personal information, contact us and we will delete it.

Changes to this policy

If we change this policy, we will update the date at the top. If the change is significant, we will also email account owners before it takes effect.
